Purpose
The monthly call is the one point of control in a retainer, and it works only if it has a fixed shape. Five items, thirty minutes, same order: outcomes against the baseline, your three questions from the report, roadmap items due and their status, next month's items with dates, and your own tasks. Write the decisions down during the call and send them the same day.

A call with a shape is a meeting; a call without one is a conversation, and conversations with people who are good at talking end where they want them to. Five items in the same order each month means the company knows what will be asked, prepares for it, and cannot use the time on a presentation. It also means the monthly notes read as a series, which the quarterly review depends on.
Outcomes first, again
The call opens where the report reading opened: the number that says whether the money is working, beside your own count of it. If the two numbers agree, the rest of the call is about the plan. If they do not, the first fifteen minutes are about why, and nothing else matters until that is settled.
The note
The note is short: decisions, dates, owners. It is sent the same day so that memory does not drift, and it asks for corrections within two days so that silence is agreement. Twelve notes in a row are the record the renewal decision is made from, and the file the contract's missed-milestones clause would be argued from.
Who attends
You and the company's named person. Not the company's sales lead; not a rotating account manager. If the person on the call changes without explanation, the first criterion has quietly failed, and the spot-check play deserves extra attention that month.
Done when
A dated note, sent and unchallenged, listing every decision, every date and every owner from the call.
If it goes wrong
- The call runs long and the company talks: the agenda is yours. Return to the items and finish on time.
- The company arrives without the roadmap status: end the call and reschedule. The status is the call.
- The named person stops attending: raise it in writing the same day. It is criterion one, and it is the first sign of an account being handed down.
