Purpose

The renewal decision is made from the file, not from the last call. Before the notice window closes, read the quarterly records and the monthly notes, put the year's outcomes beside its cost, rerun the six checks, and decide one of three things: continue as is, continue with named changes, or give notice. Write the decision and its reasons down before speaking to the company.

Why before the window

Contracts renew by silence. A decision made after the notice window has closed is not a decision; it is a year. The date one notice period before the term ends should have gone into the diary at signing, which is why play 06 asks for the term and notice to be recorded. If it was not, find the date now.

The file, not the call

By renewal you will have twelve monthly notes, three or four quarterly records, a checkpoint record and a baseline. Together they say whether dates were kept, whether outcomes moved, and whether the company is still the one you hired. The last call says how the company's named person performed for thirty minutes. Read the file first and decide from it, then have the conversation.

Three outcomes

Continue as is, when the file says on course and the checks still pass. Continue with named changes, when the file says adjust and the changes are things the company can agree to in writing: different queries, a different scope, a different person, a report with an outcomes line, a different price. Give notice, when the checks fail, the dates were not kept, or the outcomes did not move and the company cannot say why.
